Everything You Need to know
Age
All guests must be at least 20 years of age.
Bookings
Our yachts can accommodate between 6 to 12 People. Skipper is mandatory for your extra enjoyment and safety. Skipper will be part of your crew, he will became your friend for sure. We can also supply Chef and Hostess. Don’t forget that each of them needs a place to sleep. Bookings are made by only 1 person that will be call Crew Leader, define your Crew Leader, and organize everything with him. IF you don’t have enough friends to fill up a yacht you can go to our Crew Finder Forum on our website, and search for crew members. You can also book a Cabin for 2, instead of a yacht.
Cancellations
If you choose to cancel your booking, we must be informed by your Crew Leader, by email to Info@theoceanweek.com. Any payment received from you triggers our obligations with suppliers, so any cancellation by you will incur a cancellation charge plus a 5% administration fee. The minimum charge will depend on the time of cancellation:
Yacht Bookings
- From booking date to 91 days before event date (check your booking to see the exact date) – 50%
- From 90 to 60 days before event date (check your booking to see the exact date) – 80%
- Within 60 days of event date (check your booking to see the exact date) – 100%
Cabin Bookings
- From the date of booking to 90 days before the date of the event (check your booking to see the exact date) – 70%
- Between 89 days and the date of the event (check your booking to see the exact date) – 100%
Changes to Bookings
All the changes to bookings should be communicated by email to info@theoceanweek.com.
After analyzed we will confirm if the changes are possible or not. We always try to be the most flexible possible, that´s why we always do personalized customer service.
If you have any specials needs or wishes and requirements, you should always inform us, so we can offer precisely what you are looking for.
Flights / Transfer
As we cannot provide compensation or reimbursement for lost flights, guests are advised to book flights to and from the relevant destination well outside check in and check out times in order to accommodate for any unforeseeable or unpreventable circumstances.
We can help you find the best way to arrive to the Marina. We can arrange a transfer for you. Just let us know.
Passport and Visas
It is your responsibility to have valid travel documents. You must ensure that you have a valid passport and any necessary visas to enter any country you are visiting, including transit stops, prior to your departure. We do not accept any responsibility if you cannot travel because you have not complied with these requirements.
Payments
You can pay the entire booking amount in one Lump Sum. By using Credit Card, PayPal, BitPay or Bank Transfer.
We will add an additional 3% fee to your booking amount if you choose to pay with Credit Card.
Payments can be made in instalments:
For Yacht Bookings
- the first payment of 30% of the total cost must be paid within 24 hours of booking;
- the second payment of 30% of the total cost must be paid no later than 30 days after the booking date;
- the third payment of 40% of the total cost must be paid no later than 30 days after the booking date; In any case 30 days before the event all the payment must be done and confirmed.
- If the booking is made in the period of 30 days before the event beggings (check your booking to see the exact date), a payment of 100% of the cost must be paid upon booking.
For Cabin Bookings
- the first payment of 50% of the total cost must be paid within 24 hours of booking;
- the second payment of 50% of the total cost must be paid no later than 30 days after the booking date;
For Solo Spot Bookings

- the first payment of 100% of the total cost must be paid within 24 hours of booking;
Ratio
The booking ratio refers to the gender ratio at the time the Crew Leader makes a booking; We take the booking ratio very seriously so this cannot be changed once the holiday has been booked – The Ocean Week staff may be able to authorise a change, however, this will incur an admin fee in accordance with the terms and conditions. If at check-in, your crew ratio does not conform to the booking ratio, you may be charged a €200 administration fee for each guest that requires adjustment.
Skipper Hostesses and Chefs
Skipper is mandatory on your reservation, for you extra comfort and safety. The price is showed on the check-out bookings area.
Chefs and Hostess has not included the materials that they need to work on their price. You should do a briefing with your chef and hostess before boarding and agree on the menus and products that they need. If you don’t hire an Hostess the shopping must be made by your crew, if you hire an Hostess he or she can take care of that for you.
For Skipper, Chef or Hostess, the price does not include food costs, so you should provide at least 3 meals a days to your new friends.
Standart of Services
We aim to provide the highest level of services. Living in a boat is an unique experience, and sometimes some components of the holiday could differ from the standard that you may have at home. It is all part of the experience, however we will always help in what is possible for you to adapt and be comfortable.
Route
Route information and interest points as well as information about each site will be provided during the event. Sailing is by nature depending on the weather, so it can be changes in the route at any time causes by external factor out of our control.
Travel Insurance
The price you pay does not include travel insurance as The Ocean Week does not sell or organise such insurance. In accordance with our bookings terms and conditions, you must have sufficient travel insurance that covers adventurous activities such as sailing prior to the commencement of your holiday.
Safety
As The Ocean Week involves lots of time spent on or in water, avoid swimming when warning flags show, take care at all times and never dive into water without checking the depth. It is your responsibility to ensure that you are comfortable and safe when in the water; whilst we advise that you inform your skipper and/or hostess if you are a weak swimmer, ultimately the responsibility in terms of your safety when in the water lies with you. If you are concerned about your ability to swim, please ask your skipper about using a life jacket.
Yacht availability
There is a possibility the yacht you choose when making your booking may not be available. We reserve the right to offer you a suitable replacement or to cancel your booking up to 15 working days from your booking date. We will always try to find the best solution with a replacement yacht or a change of week. If the solution doesn’t feel a full refund will be offered.
Security Deposit
Upon arrival, The Ocean Week will require a deposit to cover additional cleaning, loss, or damage caused to the boat or the equipment (SUP, Board, Snorkling …). This will be refunded (less any sums deducted for damages) at the end of your trip. Payment can usually be made by credit, debit card or cash. We strongly advise for the whole crew, or if not the whole crew at least the Crew Leader, to be present at check out in order to contest any deductions. If you or the Crew Leader is not present, the skipper will be forced to sign off on deductions not attributable to him, which could risk the partial/whole loss of your deposit. You are responsible for the whole yacht and not just your proportion or cabin.
Extras and Activities
Almost all the locations visit as an activity associated. You can find all the activitities available on the extras area while you are booking.
We strongly advise you to add at least 1 activity to the entire crew on your booking. The spirit of The Ocean Week is to leave on the Ocean and to do activities on the Ocean.
